Client data
Use a business or enterprise plan with a written commitment that your data will not train models. If you cannot confirm that, do not load the file.
Limit what the model can see. It should answer only from what you attached.
Promises, constraints, and context live in a file you control. The CRM stays the official record.
If you cannot change the firm’s software, you can still walk into the next meeting with synthesized context.

One working example
You do not need this exact list. Keep the sequence: capture the meeting, update the CRM, file sources, draft from that file, then automate only what you have permitted. If you already use Salesforce, Advyzon, RightCapital, or Zocks, swap them in and keep the flow.

Your starting point
Pick one. That choice, plus how long a review takes you to prep, is enough for a useful conversation with Heath.

Load the household file first. Use a business or enterprise plan that will not train on your data.
Using only what is attached, what did we promise this household, what is observation vs inference, and what two questions are still open? Quote the source for each claim. If it is not in the file, say so.
Turn this transcript into: (1) an official CRM activity, past tense, no advice; (2) a household-file update labeled Observation / Inference / Open loop; (3) a list of numbers that must be checked against the plan or holdings before they become part of the file. Do not invent a sensitive topic.
Extract findings only. For each finding: the fact, the source (return year or document name), the planning question it raises, and the sentence I should not say to the client until I have written it. You do not know the family.
Draft a 200-word note I will send. Audience is this household. Constraints: use only attached sources; label any inference; do not mention products; do not create urgency the file does not support. End with two questions, not a recommendation. I will author the send.
I am covering this household for the first time. Using only the attached file, give me: who they are, what we have promised, what would embarrass us if we forgot it, and the three facts I must not get wrong. Citations required.
How well does this software fit a firm-controlled knowledge layer? Consider: can we connect to it, can household facts live outside it, does it offer a business plan that will not train on our data, and does it do one clear job? Then tell me what job it duplicates in a typical advisory stack.
